At Halo Communications, we use generative artificial intelligence (AI) tools to support our communications work. We believe AI can enhance efficiency and creativity, but we also recognise the importance of using it responsibly, ethically, and transparently.
How we use AI
We use AI tools such as Microsoft Copilot 365 to assist with:
- Research and data analysis
- Brainstorming and idea generation
- Editing and summarising content
- Transcribing and summarising meetings
- Creating visual, audio, or video content (with client approval)
AI is used to support, not replace, our communications expertise.
Our safeguards
We take the following steps to ensure our use of AI protects our clients’ interests:
Privacy and confidentiality
We do not input confidential or identifiable client information into open AI tools. We use secure, paid platforms that use encryption and access controls, comply with global standards and do not share data with third parties.
Accuracy and verification
AI-generated content is not assumed to be accurate. We verify all facts using reliable sources and consult with clients when needed.
Transparency
If we use AI to generate images, video, or audio, we disclose this clearly – whether on websites, social media, or in communications with media and stakeholders.
Client Consent
We only use AI-generated content in client projects when permission has been granted, and the scope of use is agreed upon.
Ethical Standards
Our AI use aligns with the Public Relations Institute of New Zealand Code of Ethics. We do not use AI for any illegal, unethical, or misleading purposes.
Copyright and Ownership
Current laws around ownership of AI-generated content are evolving. We advise clients that copyright protection may not apply to AI-generated imagery, video, or audio. We avoid using client intellectual property (such as logos or likenesses) in AI-generated content unless explicitly approved.
Ongoing Review
Our AI policy is regularly reviewed to reflect changes in legislation, technology, and industry best practice. We are committed to staying informed and ensuring our use of AI continues to meet high ethical and professional standards.
